Eligibility Criteria by the Graduate School Standing Committee of Fellowships, Scholarships and Student Affairs

  1. Students must be pursuing the Ph.D. or a similar doctoral degree that requires a dissertation.
  2. The deadline for receipt of applications will be in late March for travel during the 12-month period July 1-June 30. (Check with the Graduate School for current deadline.)
  3. Students need not have passed the comprehensive exam to apply for funds, but will not be allowed to expend funds until the comprehensive exam is passed. If the comprehensive exam is not passed in time for the travel to take place within the fiscal year, then the award will not be made.
  4. A student may receive no more than one award from the fund during his or her graduate school career.
  5. Students must be certified as at least half-time both when they apply and when they expend the award. (generally for this purpose 1/2 time for the regular semester equals 6 hours or 3 hours + 1/4 time TA/RA, 3 hours for the summer session.)
  6. No request may exceed a limit set by the Committee. Legitimate travel expenses are all those recognized by the State of Kansas, but the Committee may elect to provide only partial support to individuals if it finds it necessary to so do.
  7. Travel must be directly linked to the generation of materials for the dissertation (for example, studying relevant manuscripts in their original, using unique apparati, working with experimental subjects). Travel for the purposes of general student development (such as acquisition of new research skills) is not appropriate from this source.
  8. Priority will be given to students who have not received fellowship support from the Graduate School during their graduate school careers.
  9. Applications from individuals who have reasonable access to other funds for travel purposes are discouraged.
  10. Students wishing to make application to this program should obtain a cover sheet from the Graduate School, 222 Strong Hall. The application should make plain the relevance of the travel to the dissertation topic and indicate how the travel will enhance the dissertation. The student's application materials should be submitted to the department chair.
  11. The application materials should include the following: Cover page available from the Graduate School; No more than two pages of explanation; CV or Resume; Transcript (official copy not required); Letter of recommendation from the department chair or dissertation advisor.
  12. Each department chair may submit one application per year. The application materials must be received in the Graduate School, 222 Strong Hall, by the deadline.
  13. The applications will be reviewed by a subcommittee of the Standing Committee of Fellowships, Scholarships and Student Affairs and decisions will be announced in early May.
  14. All travel awards through this fund are subject to the State of Kansas travel regulations.
